Rental Rates and Agreement
Rental Rates
ALL RENTALS ARE SUBJECT TO COMPLIANCE WITH THE VISION, MISSION AND OBJECTIVES OF THE EASTERN LABRADOR ARTS ALLIANCE.

Effective August 2016 -2017 (Revised June 2016 to reflect tax increase)

1. Rates are based on minimum block booking ( 8, 4, 2, hours) in two categories: Performance Rentals and Non Performance Rentals divided into ten different groups.
* All rentals are ticketed unless otherwise indicated.
* All ticketed events must use the services of the box office.
* The renter is not permitted to create their own tickets for any event- ticketed or non-ticketed.
* The Eastern Labrador Arts Alliance may not allow long term repeated weekly bookings (ie - every Monday at 10:00 am)
* Accessing Mealy Mountain Collegiate for additional production space is the responsibility of the Renter- please contact the school Principal
* Groups B and G are subject to RENTAL TERMS AND CONDITIONS - see #15 below.

2a. Performance Rentals include : technician, box office, janitorial services, ushers, house manager, ticket printing and other equipment listed on the rental contract.
*Rentals that require refreshment set up will be charged extra.
*Any food and beverages requested will be charged to the renter.
*Some Performance Rentals will be charged additional technical support fees determined by the requirements. *Performance Rentals include a two hour sound check or three hour dress rehearsal before the event.

2b Non Performance Rentals include: janitorial services, ushers, house manager, and other equipment listed on the rental contract.
*Non Performance Rentals that require a technician, additional rehearsal time, and/or refreshment set up will be charged extra.
*Any food and beverages requested will be charged to the renter.
*The Lawrence O'Brien Arts Centre may not be used as a recording studio.

3. Services of a curtain puller or follow spot are available but must be requested at rental booking.

4. If a booking is made and cancelled without two weeks notice , a cancellation fee of 50% of the estimated rental cost will be charged.

5. Ticket prices are set by the renter.

6. A Ticket Surcharge of $1 per ticket/seat (HST included) for repairs and maintenance will apply whenever tickets are sold for entrance to the facility.

7. SOCAN license fees will be charged to the renter when applicable at a rate of 3% of the gross ticket sales versus $35, unless otherwise designated by SOCAN.

8. Wish Fish Membership: Some non profit arts groups may choose to pay an annual fee of $1050 (HST included) which entitles their group to use GROUP F rates, and access to the building for meetings and rehearsals. Access is determined by outside bookings.

9. Mealy Mountain Collegiate has a User Agreement with the Eastern Labrador Arts Alliance. Outside bookings will take priority over school daytime use.

10. Merchandise Sales will be charged 10% to the house.

11. Any donations collected (in lieu of tickets or other) must be made with the permission of management and will be charged a fee of 20% of the donations collected - exceptions for recognized charities will be at the discretion of the house.

12. The Eastern Labrador Arts Alliance has a Food and Alcohol Policy and management must be notified at the time of booking about Food and/or Alcohol usage. Alcohol is permitted for special events but restrictions apply.

13. No audio or visual recording is permitted in the theatre during any performances - ticketed or non-ticketed. Renters may use designated photographers/videographers with the WRITTEN PERMISSION of management.

14. The ELAA reserves the right to hold 2% of the house seating for their use.

15. RENTAL AGREEMENT – TERMS AND CONDITIONS

The following terms and conditions are to ensure quality of production and eliminate last minute changes or additions which create disruptions and difficulties for technical staff.

PART A Dress Rehearsal and Sound Check

1) All technical requirements and requests must be clearly thought out, put in writing
and passed in to the Arts Centre 2 days before rehearsal/sound check.

a) The full Variety Show line up including:
• #of musicians/performers
• Song/selection titles
• equipment/instruments being used and quantity
e.g. guitar, piano, drum kit, music stands, stools, chairs
• mic preferences

b) The complete Dance Show program:
• in show order
• designating whether performers start on stage or off stage
• music/song titles listed
• dance piece titles listed – if different from the music/song title

2) All music (accompaniments or performance tracks), sound effects, visuals (video or
slides) must be on a cd or usb prior to the start of the rehearsal/sound check.

a) All items (cd, usb) must be clearly labelled with the name of performer, song title and show name.

PART B Production Protocols

3) For large youth productions (dance shows, mass choir events, festivals) involving over 30
young people under age 18:

a) Mealy Mountain Collegiate (MMC) dressing room space MUST BE used - Music Room, Multi Purpose Room, Hallway or Gymnasium.

b) It is the responsibility of the RENTER to obtain permission to access MMC, by contacting the school principal.
c) Adults (parents, guardians, youth) who are not involved with the production are NOT permitted in the backstage area - past the MMC Music Room door.

d) The ELAA may require that seating is reserved for performers in the house.

4) Once the main doors to the theatre have been opened and the audience is being seated – during the half hour before the show starts - access to the stage by performers is not permitted.

GROUP A PROFESSIONAL Performance

∙ Anyone who receives royalties
∙ 4 hr min $750 or 20% of ticket sales whichever is greater
∙ $75 per hr for each additional hour
∙ $75 added for foyer reception - food/beverages
∙ plus HST


GROUP B CHARITY Performance
Subject to RENTAL TERMS and CONDITIONS (see #15)

∙ Performers must be non paid volunteers donating their time
∙ 4 hr min $210 or 10% whichever is greater
∙ $50 per hr for each additional hour
∙ $80 added for foyer reception - food/beverages
∙ HST included

GROUP C NON TICKETED Performance
Subject to RENTAL TERMS and CONDITIONS (see #15)

∙ Technical/Operational fees will be charged determined by the
requirements at a rate of $45 per hour
∙ $80 added for foyer reception - food/beverages
∙ $50 per hour for each additional hour

∙ recitals, presentations, film screening, variety shows
∙ 2 hr max $105
∙ 3 hr max $210
∙ 4 hr max $315
∙ HST included


GROUP D NON TICKETED Non Performance
Subject to RENTAL TERMS and CONDITIONS (see #15)

∙ Technical/Operational fees will be charged determined by the
requirements at a rate of $45 per hour
∙ $80 added for foyer reception - food/beverages
∙ $50 per hour for each additional hour


∙ inservice, workshops, meetings, rehearsal space
∙ 8 hr min $315 daytime only
∙ 4 hr min $210 day or evening
. 2 hr min $105 day or evening
∙ HST included


GROUP E NOT FOR PROFIT/LOCAL ARTISTS
Subject to RENTAL TERMS and CONDITIONS (see #15)

i) Performance

∙ 4 hr min. $420 or 15% of ticket sales whichever is greater
∙ $50 per hr for each additional hour
∙ $80 added for foyer reception - food/beverages
∙ HST included

ii) Performance - Private Invitation

∙ Tickets will be sold at the box office to a guest list provided by the renter
∙ 4 hr min $420 or 15% of ticket sales whichever is greater
∙ $50 per hr for each additional hour
∙ $80 added for foyer reception - food/beverages
∙ HST included


iii) Performance – Film Screening

∙ 2 hr min $210 or 10% of ticket sales whichever is greater
∙ $50 per hr for each additional hour
∙ $80 added for foyer reception - food/beverages
∙ HST included



GROUP F WISH FISH MEMBERS Performance
Subject to RENTAL TERMS and CONDITIONS (see #15)

∙ $315 flat rate per performance or 15% of ticket sales if the gross exceeds $3,500
∙ $80 added for foyer reception - food/beverages
∙ HST included


GROUP G SCHOOLS Performance or Non Performance
Subject to RENTAL TERMS and CONDITIONS (see #15)
Must be a school event involving K-12 students
Donations may be collected without fee to the house

i) Evening - Ticketed
∙ a student ticket price must be offered (suggested 40% reduction)
∙ $210 or 10% of the ticket sales whichever is greater
∙ $80 added for foyer reception - food/beverages
∙ HST included

ii) Evening -Non Ticketed
∙ $105 flat rate per performance/event
∙ $80 added for foyer reception - food/beverages
∙ $25 fee for ticket printing per event
∙ HST included

iii) Evening - Foyer ONLY – Non Ticketed
∙ $28 flat rate per event - Maximum capacity seated 100 standing 300
∙ $80 added for foyer reception - food/beverages
∙ HST included

iv) Daytime -Non Ticketed - non paid performers
∙ artists are non professional or volunteer professionals
∙ $28 flat rate per performance/event
∙ $80 added for foyer reception - food/beverages
∙ HST included

v) Daytime - Non Ticketed - paid performers
∙ artists are paid professionals
∙ $210 flat rate per performance
∙ $80 added for foyer reception - food/beverages
∙ HST included

GROUP H FOYER Event - Non Ticketed
∙ ALL foyer events must be non ticketed
∙ Technical/Operational fees will be charged determined by the requirements at a
rate of $45 per hour
∙ $80 service fee for set up of refreshment area, cafe tables, chairs, tables
and/or staging
∙ $50 per hour for each additional hour

i) Non Performance

∙ 4 hr min : day or evening $ 105
. 8 hr max : day only $ 210
∙ HST included
∙ Maximum capacity seated 100 standing 300

ii) Performance

∙ 4 hr min : day or evening $ 315

GROUP J STAGE ONLY Performance - Ticketed or Non Ticketed

∙ Technical/Operational fees will be charged determined by the requirements at a
rate of $45 per hour
∙ 4 hr min : $315 with stage and house seating
∙ 4 hr min : $210 with stage seating only
∙ 2 hr max : $105 stage seating only WITHOUT tech support
∙ $50 per hour for each additional hour
∙ Set up service fees
